Privacy Policy
How we collect, use and protect the information you share with us.
Who we are and scope
FleetSquad is a fleet maintenance product operated by MECHLANCE INC. This Policy describes personal information handled through the FleetSquad website, Get Estimate and other service-request forms, FleetSquad accounts, Projects, PO/work orders, and communications. Mobile Mechanic is a separate product; its subscriber list and consent are not treated as FleetSquad consent.
Information we collect
We collect information a person or company provides: name, company and role, email address, service and mobile phone numbers, account information, service addresses, vehicle details, descriptions of requested work, scheduling information, and support messages. Project and PO/work-order records may include estimates, approvals, funding and invoice status, technician assignments, work notes, inspections, photos, and service history. We record account and communication events needed to operate, secure, and audit the service, including SMS consent and withdrawal history. We may receive address data selected through Google Places and payment status from an authorized payment provider where those functions are used. We collect ordinary website and security data such as device/browser information, IP address, logs, and cookies or similar storage used to operate the site and accounts.
Do not submit sensitive personal information that is unnecessary for fleet service in a free-text field or photo. If someone submits another person's information, that person must have authority to provide it for the FleetSquad service.
How we use information
We use information to respond to requests; evaluate, schedule, and perform fleet service; create and administer authorized accounts, Projects, POs, estimates, invoices, and service records; communicate with customers, mechanics, and staff; provide support; protect accounts and prevent misuse; satisfy legal duties; and improve the service. Access to Project and customer data is limited by role and the account's authorized relationship to the work. Receiving a notification does not by itself grant access to protected details.
Service phone numbers, SMS consent, and STOP
A phone number requested for service contact helps FleetSquad coordinate a request or Project. Supplying that number, submitting Get Estimate, creating an account, or receiving a non-SMS service contact does not itself opt anyone in to FleetSquad SMS. SMS requires a separate affirmative FleetSquad-specific choice. The customer, mechanic, and staff SMS choices are separate from the required service-contact information. The mechanic choice expressly covers account and assignment notices and eligible new Project opportunities. We do not import Mobile Mechanic SMS permission.
We record the account or request, phone number, consent choice, time, source and disclosure version, and later withdrawal or carrier STOP event so we can enforce the choice and document it. We send FleetSquad program texts only when the applicable consent is current and the number is not suppressed. Reply STOP or STOP ALL to stop FleetSquad SMS, including active-Project SMS. Reply HELP for help. Account holders may also withdraw SMS consent in their FleetSquad account. A changed phone number requires a new SMS choice for the new number. Service information may still be available in the account or through another legally permitted channel after SMS stops.
FleetSquad SMS includes the account and operational categories described in the Terms of Service. It does not include general advertising, discounts, or third-party offers. Message frequency varies; message and data rates may apply.
Email and channel preferences
We may use email to deliver account setup, request, Project, PO, scheduling, support, and other service information where permitted. We record delivery outcomes and suppress addresses when required by an opt-out, bounce, complaint, or applicable law. Email and SMS consent are handled separately. An SMS choice does not authorize unrelated email or another product's communications.
Sharing and disclosure
We share information with authorized FleetSquad personnel and assigned mechanics only to the extent needed for their duties and the work they are authorized to perform; with service providers that host, secure, process payments for, support, or deliver FleetSquad services and communications; and when legally required or necessary to protect rights or safety. An assigned mechanic may receive the contact, vehicle, location, and work-order information needed for that assignment and must use it only for authorized FleetSquad work. Receiving a notification does not grant access to other customer or Project records. We do not sell customer personal information. We do not sell or share mobile opt-in data or SMS consent with third parties or affiliates for purposes unrelated to providing the FleetSquad SMS program. We may share the minimum contact and consent information with a messaging provider and carriers solely to deliver, track, and suppress FleetSquad messages. Mobile Mechanic subscriber data and permissions are not transferred into FleetSquad's message program.
Retention and security
We retain account, service, vehicle, inspection, financial, audit, and communication records for the periods needed to perform the service, meet legal and contractual obligations, resolve disputes, and maintain appropriate records. We retain SMS consent and suppression records as needed to honor a person's choice and document compliance. Retention varies by record and applicable law; deletion may be limited where a record must be preserved. We use administrative, technical, and organizational safeguards appropriate to the information, though no network or storage system can be guaranteed completely secure.
Your choices and requests
You may update applicable account and contact information through FleetSquad or ask us to correct an error. You may request access to or deletion of personal information, subject to identity verification, authorized company access, and records we must or may keep under law or contract. You can opt out of SMS by replying STOP or using an available account preference. An active Project never overrides an SMS STOP. For privacy requests, email support@fleetsquad.com or use the contact form. We will handle a request under applicable law.
Third-party sites and children
The FleetSquad website may link to independent sites or use services such as Google address selection. Their own terms and privacy notices govern their independent handling of information. FleetSquad is intended for business users and is not directed to children.
Changes and contact
We may update this Policy and will post the revised text and effective date. Material changes may also be communicated where required by law. Questions or privacy requests can be sent to support@fleetsquad.com or through the contact form.
